Data Security and Privacy Principles

All data created, uploaded, or processed on Assetrai belongs to the relevant customer.

Ownership of inventory records, assignment documents, maintenance histories, reports, uploaded files, and all other content remains with the customer. Assetrai does not claim any ownership rights over this data.

To provide the service, Assetrai collects: account information you provide when signing up or using the app (such as your name and email address); inventory and operational data you create or upload (asset records, assignments, maintenance histories, documents, and files); and limited technical and usage data generated as you use the app (such as screen views and in-app actions).

This data is collected directly from the information you enter, the files you upload, and your interactions with the app. We use it to operate and deliver the features you use, to provide support, and to improve the service.

We use first-party analytics (Google Analytics) for product usage statistics only. We do not link this data with third-party data for advertising and do not share it with data brokers, so it is not used to track you across other companies' apps or websites.

Assetrai never sells, rents, or shares customer data with third parties for commercial purposes under any circumstances.

Information on the system is not used for the following purposes:

• Not used for advertising
• Not shared with marketing companies
• Not transferred to data brokers
• Not sold for commercial analysis

Customer information is processed solely to deliver the service.

Assetrai offers optional AI-assisted features (for example, generating inventory entries from a text prompt or an uploaded Excel/PDF file). These features run only when you choose to start them.

When you use an AI feature, the text you enter and the contents of the file you upload — which may include inventory data and personal data such as names or email addresses contained in the file — are sent to our AI provider, OpenAI, solely to generate the proposal you requested. In the mobile app this is disclosed and your explicit consent is requested before any data is sent.

This data is processed only to produce the result you asked for. It is not used to train OpenAI's or any other artificial intelligence model, and it is not transferred to public data pools. OpenAI processes this data as our service provider under terms that require a level of data protection equivalent to the principles described here.

If you do not use the AI features, no data is sent to any third-party AI service.

Assetrai's infrastructure is designed on the principle of isolating customer data from one another.

Records belonging to one customer cannot be viewed, queried, or accessed by another customer.

This approach supports both data privacy and operational security.

Documents uploaded to the system — assignment forms, invoices, maintenance records, and other files — are kept in secure storage areas.

Files can only be viewed by users belonging to the relevant customer organization.

Document contents are not public and are not indexed by search engines.

System data is backed up regularly to reduce the risk of data loss.

Backup processes provide an additional layer of protection against hardware failures, human error, or unexpected technical issues.

Customers can view, export, or request deletion of their data at any time within the framework of the terms of use.

Assetrai supports the portability and accessibility of customer data.

Assetrai processes customer data only to the extent necessary to provide the service.

Collected data is never used for different purposes without the customer's knowledge.

Data minimization, privacy, and customer control were adopted as core principles when designing the system.

For Assetrai, data security is not just a technical matter.

Protecting the privacy of data entrusted to us by our customers, preventing unauthorized access, and keeping control of information with the customer is our fundamental approach.

Because we believe that your data — your most valuable asset — belongs only to you.
